    Plan to Protect - Renewing Police Clearances

    I was wondering if you could give me some feedback on how you are dealing with Plan to Protect in regards to renewing Police Clearances. A lot of ours date back to when it started in 1999, and I've noticed that in the manual it does not say anything about people updating their police clearances ever.

    Just wondering if anyone else has come across this and what you've done.

    We're in the works to start with staff/employees first then gradually move to our volunteers and require they update it every 2-3 years. I would appreciate your feedback!!!

    Plan to Protect re-newals can be included in your yearly training or appreciation time with your volunteers.  When you gather your workers together for training have the approperiate forms for them to complete.  If they are completing the check them selves, give a due date for when the forms need to be returned by.  If the church is covering the cost or has a 'back-check' program in place then plan to collect them that day and complete the filing process through the church office. 

    Often we feel safe in our churches and in those we have on our volunteer staff however unfortunately it is an uncertain world we live in and re-newing and obtaining 1st time clearances should indeed be at the top of our list when it comes to protecting our volunteers, our children, & our church.

    Our original manual did not have anything about police clearance renewals either.  We included that in our updated 2005 version to say that we wanted everyone to renew their clearance every 3 years.  We now use the Back Check system which works very well.  Relieves a lot of headaches from me!  Though it does cost some money - it is definitely worth it! 

    I do require a "volunteer renewal application form" on the off years.  It asks the questions that I want answered and it has a current signature for that year. 

    The youth under 18 (Windsor area does not do police clearance checks under this age) must fill out a reference check form before they can go on any schedules.
